Bay Sheffield 2023 - Important Information

I hope you all had a wonderful Christmas!

Following is a summary of information for you on the Bay Sheffield.

TRACK ROSTER
There is a requirement for all SA clubs to provide a minimum of 2 helpers each day to help with track set up and pack up. Larger squads (e.g. Camden, Flinders) will need to provide 3 helpers. Time to set up is 8.30am both mornings. Please sign in at the Admin tent at the northern end of Colley Reserve.

The biggest and most important thing that we need a change with this year in the pack down on day 2 which we never get quite right. Officials who have been working for 2-3 days on the event are left clearing up and at this stage are exhausted.

Please let your coaches know your availability to help or even volunteer a family member.

SURVEY
We have been very fortunate to get Bay Sheffield funding from the South Australian Tourism Commission. With the funding comes the responsibility to collect data on the event. This will both help us meet our obligations and could help us with future funding.

The survey is short and easy to complete. Every squad will need to ensure that at least 10 surveys are completed over the carnival. We will be sending the link to all athletes so it will be most useful to approach members of the public and others who are in attendance. We hope that all athletes will also be happy to complete the survey in addition to this and the link will be sent out via teamapp and sms following the carnival.

We ask that a representative from your squad meet at admin tent on the first day at 1pm and receive some short instructions on how to conduct the survey.

ACCEPTANCES AND SCRATCHINGS
- You will not be able to scratch online for this year’s Bay Sheffield Carnival.
- If a runner wants to scratch, this needs to be done at the Administration tent on the day or to me via email or on 0400 353 506 no later than one hour prior to the first heat of the event. Scratching must state your name and which event you are scratching from.
- The Bay Sheffield Carnival requires athletes to accept in person 1 hour prior to the first scheduled heat for all events including The Men’s and Women’s 120m Bay Sheffield. Athletes who have not reported their intention to start to the Scratching Steward in the SAAL Admin tent at least 1 HOUR before the time appointed for starting the first heat of such event shall be automatically scratched from the event. All semi and final qualifiers in events where heats are run, are deemed automatic starters unless notified by the Chief Steward to the Scratching Steward.
- Please note that the SAAL Admin tent will be at the northern end of Colley this year due to building works on the rotunda.

MARSHALLING
- Please put your blocks behind your lane for sprint events
- Report to the marshalling tent adjacent the sprint track 10 minutes before the scheduled start time of your race.
- Please ensure you are in the correct colour singlet. Finalist silks, sponsor race bibs, number bibs and spare colours will be located in the marshalling tent. Silks and number bibs must be returned to the tent as soon as possible after the podium presentation for the race

BAY SHEFFIELD ELIGIBILITY AND EXEMPTIONS
You will have noticed that the SAAL have granted exemptions to a number of athletes to compete across a range of races in the Bay Sheffield Carnival. It became apparent after close of nominations that eligibility requirements we had set across all races were not understood and had caused some confusion amongst athletes. This resulted in a significant number of Athletes from SA and interstate who would have been excluded leading to reduced fields and less of a spectacle.

Whilst not an ideal situation the League determined that athletes who had not meet participation requirements and had not already applied for an exemption would be contacted and would need to apply for an exemption to compete.

Exemption requests were referred to a panel of three for assessment and consultation was made with the handicapper for the race. Handicapper were asked to provide exemptions only where they had enough information and race data to make a good handicapping decision.

This process will be reviewed and modified for Season 2024/25

T-SHIRT COLLECTION
For athletes that ordered their free t-shirts in time, the t-shirts will be available for collection at the Sportscentre tent.

Calcutta
We have tickets available for the Calcutta for $5 each and are available for purchase from the SAAL Admin tent. Cash is preferred.

Tent Allocations
Tent allocation will be released boxing day and squad/coach name painted on the grass as per usual.
